Below we present the synchronization mode for the emails sent through an email account so that the Sent directory on any device will contain the emails sent from all the devices that have configured the respective email account.

Managing emails sent from multiple devices can be made much easier if we synchronize them in one directory.

1. Configure the email address on all devices using the IMAP protocol.
2. Make sure the Sent directory is available and present on the server.

  • Check in Webmail for the Sent folder
  • If there is no Sent folder - click Settings -> Folders then check the Sent folder
  • If there is no Sent folder - send a test email from Webmail, and the Sent folder will be generated automatically

3. Configure the email client to recognize the Sent folder so that all sent emails are stored in that folder.

Generally, the configuration is done automatically when you add the email account in the programs used to manage the emails, generating the folder named Sent Messages.

In some cases the saving of the sent emails is done locally on your computer instead of saving them on the server; In these situations it is necessary to configure the folder manually. The advantage of synchronizing emails on the server is that you can access them from any device.

Manual configuration is the last solution you have to consider if automatic synchronization fails.

  • Outlook 2007 and 2010 offer the possibility to save the emails sent in the Sent Mail folder (or not, depending on the option)
  • Outlook 2013 automatically saves emails in the Sent Items folder
  • For Gmail users - there is Gmail IMAP - which automatically saves emails in the Sent folder

If the server tries to automatically determine the folder for the sent emails and fails, you can perform this procedure manually.

Subscribe to a folder in Outlook:

  • Open Outlook
  • Right-click on the Inbox directory
  • Select IMAP Folders
  • Uncheck "when displaying hierarchy in outlook, show only subscribed folders" to make all folders visible, not just the ones you already subscribed to
  • Click on the query
  • Select the folders you did not subscribe to
  • Click on Subscribe (one by one)
  • Click OK to close the window

 

How do you subscribe to an Outlook folder on an Apple device?

You can sync your IMAP email account on an Apple device: iPhone, iPod or Mac. In addition to other devices it is necessary to define IMAP path prefix.

To set an IMAP path prefix:

  1. Click on Settings (mobile version) or System preferences (desktop version)
  2. Click on Mail (mobile) or Internet Accounts (desktop)
  3. Select the desired account
  4. Click Advanced
  5. Click on IMAP
  6. Set Path Prefix by typing INBOX
  7. Save the settings and the directory will be displayed

In case of Outlook 2013 and Outlook 2016, they may not find the correct folder to save sent emails. If this happens, the Sent directory (this computer only) will be automatically generated - but this directory will not be synchronized with the emails on the server.

 

How do you configure the root folder for an email account?

There are situations when Outlook does not recognize folders due to errors. When the email account is synchronized with a root folder, Outlook will recognize the folders correctly. Using a root folder will make Outlook bypass the default Sent Items and Deleted Items directories and allow the use of local directories instead.

  1. Navigate to File and click on Account Settings
  2. Open your IMAP account
  3. Click More Options
  4. Open the Advanced tab
  5. Under options, click Root folder path
  6. Click OK in the dialog box

If the new directories do not appear in the IMAP dialog box, make sure you have updated the list of directories and apply a refresh.

To update the folders follow the steps below:

  • Open the email client
  • Right-click on the first folder in your IMAP email account
  • Click Update Folder List

To subscribe to a new folder in Sent Items directory in Outlook 2010 follow the steps below:

  1. Open Outlook - click on File -> Account Settings and then double-click the desired IMAP account
  2. Then click More Settings
  3. Select Sent Items
  4. Activate "Save sent items in the following folder on the server"
  5. Choose your desired folder.

 

Attention:

As the storage space used by the Sent folder grows, the email client used will open slowly, especially on iPhone or other mobile devices. It is recommended that you add a new Sent Archive directory, locally to your computer or in a backup once a year.
